Team: Users, Roles, Permissions and Job Postings
Add employees, build custom roles, browse permissions, post vacancies, and track candidates.
This chapter covers two sidebar sections of the Eatsy Orders backoffice:
- Users (ES: "Usuario") — your staff list, the roles you assign to them, and the catalog of permissions roles can grant.
- Jobs (ES: "Trabajos") — job openings you publish and the candidates who apply (or that you add by hand).
What you can do here
- Add the people who work at your restaurant as employees (staff who log into the backoffice and/or the POS/iPad app), with their name, position, login email, phone, login PIN/code and the role(s) they get.
- Edit an employee, turn them Active/Inactive, assign a Superior (manager), and delete them.
- Create your own custom roles, and choose exactly which permissions each role gives (for example, who can see orders, edit the menu, or manage staff).
- Browse the full permissions catalog so you understand what each one unlocks.
- Post job vacancies (position, description, photos and custom application questions), toggle a vacancy between hiring and not-hiring, and delete it.
- Review candidates who applied to a vacancy, change their status as you move them through your hiring process, and add candidates manually.

Visibility — Users. The Users sidebar item only appears if your account has the see-users permission. Inside the page, each tab is gated by its own permission and is hidden if you don't have it: Employees needs see-employee, Roles needs see-role, Permissions needs see-permission. If you have none of these, the page shows a "You do not have permission" message instead of the tabs.
Visibility — Jobs. The Jobs sidebar item only appears if your account has the see-jobs permission. Inside, the Vacancies tab needs see-vacancy and the Candidates tab needs see-candidate; tabs you lack are hidden, and if you have neither you'll see the "You do not have permission" message.
Tabs are also addressable directly by URL, e.g. https://admin.eatsyorders.com/users?tab=roles or https://admin.eatsyorders.com/jobs?tab=candidates.
Employees tab (Users → Employees)
Where: Users page, Employees (ES: "Empleados") tab — https://admin.eatsyorders.com/users?tab=employees.
What it's for: This is the master list of your staff. Each row is one employee, showing whether they're active (green dot) or inactive (red dot), their role(s), phone, login email and manager. From here you create, edit and delete staff.
The table columns are: Name, Role, Phone, Email, Manager.
Add an employee
- Click New Employees (ES: "Nuevos empleados") at the top right. (Button only shows if you have
add-employee.) - You land on the employee form at
https://admin.eatsyorders.com/users/employee/new. Fill in the sections described in "The employee form" below. - Click Save (ES: "Guardar") and confirm in the "Save changes" dialog.
If the list is empty, the empty state shows a Create new employee link that takes you to the same form (only if you have add-employee).
Edit an employee
- Click anywhere on the employee's row, or open the row's three-dot menu and choose Edit (ES: "Editar"). Either requires the
edit-employeepermission — without it, rows are not clickable and the menu/Edit option is hidden. - You go to
https://admin.eatsyorders.com/users/employee/…/edit. - Make your changes and Save.
Delete an employee
- Open the row's three-dot menu and choose Delete (ES: "Eliminar"). This option only appears if you have
delete-employee. - A confirmation dialog ("Are you sure you want to delete {name}?") appears. Click Delete to confirm or Cancel to back out.
- You can also delete from inside the edit form using the Delete button in the actions panel.
Gotcha: Deletion is immediate and permanent (there's no trash/restore for employees). If you only want to stop someone from logging in, prefer toggling them Inactive instead (see below) rather than deleting.
Load more
If you have many staff, only a first page loads. A Load more (ES: "Cargar más") button at the bottom fetches the next batch.
The employee form (new / edit)
Where: https://admin.eatsyorders.com/users/employee/new and .../users/employee/…/edit.
Visibility: The new form requires add-employee; the edit form requires edit-employee. Without the right permission you get a "You do not have permission" screen.
The form is one screen split into sections. On wide screens the Save/Delete/Cancel buttons sit in a panel on the right; on narrow screens (≤792px wide) they appear as a bar across the top.
Section: header (name, position, active toggle)

Section: Contact Information (ES: "Información de Contacto")

Gotcha: The email is the employee's identity in the system. Use a real, unique email per person.
Section: Employee code (ES: "Código de empleado")

How to use the code field:
- Type or paste the code into Code.
- The eye icon toggles between hidden (dots) and visible text.
- The copy icon copies the code to your clipboard and shows a "Employee code copied to clipboard successfully" confirmation.
Section: Employee configuration (ES: "Configuración de empleado")

How to assign roles:
- Click the Role dropdown.
- Click each role you want; selected roles show as chips. Click a chip's row again to deselect.
- The roles come from the Roles tab — if a role isn't there yet, create it first.
Saving and the confirmation step
- Click Save (in the side panel or top bar). The form validates first; any errors highlight the offending fields.
- A Save changes dialog appears ("Do you like to save changes on {first name}?"). Click Save changes to commit or Cancel to keep editing.
- On success you see a green confirmation. If you leave the form with unsaved edits, a "Are you sure you want to leave the page?" prompt protects your work.
Driver sync note (gotcha): If you give an employee a role that makes them a driver, the system also tries to register them in the delivery system. You may see a follow-up message such as "the driver was synced successfully", or a warning like "but the driver was not created/synced" with a reason — common reasons are: the employee is inactive, no location is assigned, a driver with that phone already exists, or a driver already exists for that employee. The employee is still saved either way; the warning only concerns the driver link.
Roles tab (Users → Roles)
Where: Users page, Roles (ES: "Roles") tab — https://admin.eatsyorders.com/users?tab=roles.
What it's for: A role is a named bundle of permissions you assign to employees, so you don't grant permissions one by one. Each role card shows its name and a summary line like "X Employees • Y Permissions". Expand a card to see exactly which employees have it and which permissions it includes (permissions are listed as colored chips).
Create a custom role
- Click New role (ES: "Nuevo rol") at the top right. (Only shown with
add-role.) - A modal opens. Fill in:

- Inside the modal there are two sub-tabs: Permissions (ES: "Permisos") and Employees (ES: "Empleados"). Switch between them to pick permissions and to pre-assign staff.
- Click Save (ES: "Guardar"). You'll see "{role name} created successfully".
Edit a role
- On a role card, open the three-dot menu and choose Edit (ES: "Editar"). Requires
edit-role. - The same modal opens pre-filled. Change the name, description, permissions or assigned employees, then Save. You'll see "{role name} edited successfully".
Delete a role
- On a role card, open the three-dot menu and choose Delete (ES: "Eliminar"). Requires
delete-role. - Confirm in the "Delete role" dialog ("Are you sure you want to delete {name}?"). Click Delete or Cancel.
Gotcha — base roles: Some roles are base roles (built-in). On a base role the three-dot Edit/Delete menu does not appear — you can't edit or delete them, only the custom roles you created.
Visibility: The three-dot menu on a role only shows if you have
edit-roleordelete-role; within it, Edit needsedit-roleand Delete needsdelete-role.
Permissions tab (Users → Permissions)
Where: Users page, Permissions (ES: "Permisos") tab — https://admin.eatsyorders.com/users?tab=permissions.
What it's for: A read-only catalog of every permission available on your account. Each item shows the permission's name and (when provided) a description. This is the reference you use when deciding what to put into a role. You don't create or delete permissions here — you grant them to roles (in the Roles tab) and roles to employees (in the employee form).
Note: The exact list is provided by Eatsy's system and can vary by account/products. There's nothing to edit on this tab; it's for looking up what each permission means.
What the permission groups unlock
Permissions follow a consistent pattern: see- (can view the section), add- (can create), edit- (can modify), delete- (can remove), plus a few special can- permissions. Granting see-… is what makes the corresponding sidebar item/tab appear for that user. The main groups you can assign to a role include:
- Orders & refunds:
see-ordersand the special order powerscan-void-order,can-refund-order,can-partial-refund-order,can-request-delivery-refund-anytime— control who can view orders and who can void or refund. - Menu & products:
see-menu/add-menu/edit-menu/delete-menu, plus the same set for categories, items, products, modifiers, cross-selling and schedules — control who can manage the menu. - Marketing: coupons (
see-coupons/add-coupon/edit-coupon/delete-coupon), promotions, campaigns/push-campaigns, and workflows (see-workflow/add-workflow/edit-workflow/delete-workflow). - Channels / site: splash, social, website, articles, app-links, content, slides, playlists — control who can edit your microsite/branded app and TV media.
- Team: employees (
see-employee/add-employee/edit-employee/delete-employee), roles (see-role/add-role/edit-role/delete-role), permissions (see-permission) — i.e. who can manage staff and access (covered in this chapter). Note the Users sidebar item itself is gated bysee-users. - Jobs: vacancies (
see-vacancy/add-vacancy/edit-vacancy/delete-vacancy) and candidates (see-candidate/add-candidate/edit-candidate/delete-candidate); the Jobs sidebar item is gated bysee-jobs. - Customers:
see-customers/edit-customers,add-customer/delete-customer,see-leads/edit-leads. - Places: places (
see-place/edit-place) — for viewing and editing locations (creating a new location needs a separate add permission that many roles do not have). - Account & settings:
see-account/edit-account,edit-payment,edit-dual,edit-language,edit-takeout, loyalty settings, etc. Delivery Dispatch edits usemanage-delivery-dispatch(without it the Delivery Dispatch page stays view-only if you can open it via marketplace access). - Special abilities:
can-upload-video(allows uploading video, not just images, in media pickers) and the order-refund/void powers listed above.
The actual permission keys that exist are returned by the system, so your account may show a subset or extra ones depending on your plan/products. Use this tab as the live source of truth, and the Roles tab to bundle them.
Vacancies tab (Jobs → Vacancies)
Where: Jobs page, Vacancies (ES: "Vacantes") tab — https://admin.eatsyorders.com/jobs?tab=vacancies.
What it's for: Your published job openings. Each row shows the position photo/name, how many candidates applied, the creation date, and a Hiring switch. Table columns: Position, Candidates, Creation Date, Hiring.
Toggle a vacancy on/off (Hiring)
- The Hiring switch on each row turns the vacancy active (accepting applications) or inactive directly from the list, without opening it. Requires
edit-vacancy. You'll see a "{position} was edited successfully" (or an error) message.
Add a vacancy
- Click New vacancy (ES: "Nueva vacante") at top right. (Only with
add-vacancy.) - You go to the vacancy form at
https://admin.eatsyorders.com/jobs/vacancies/new(see "The vacancy form" below). - Save and confirm.
The empty state offers a Create new vacancy link to the same form.
Edit a vacancy
- Click the row, or use the three-dot menu → Edit (ES: "Editar"). Requires
edit-vacancy. - You go to
https://admin.eatsyorders.com/jobs/vacancies/{vacancyId}/edit.
Delete a vacancy
- Three-dot menu → Delete (ES: "Eliminar"). Requires
delete-vacancy. - Confirm in the "Delete vacancy" dialog. Click Delete or Cancel.
Visibility: The three-dot menu only appears if you have
edit-vacancyordelete-vacancy.
The vacancy form (new / edit)
Where: https://admin.eatsyorders.com/jobs/vacancies/new and .../jobs/vacancies/{vacancyId}/edit.
Visibility: New requires add-vacancy; edit requires edit-vacancy.
On wide screens a live Vacancy Preview and the Save/Delete/Cancel buttons sit on the right; on narrow screens the buttons appear as a top bar.
Section: header (position, description, Hiring toggle)

Section: Vacancies Gallery (ES: "Galería de Vacantes")
Photos that illustrate the job posting.
- Click Add media to open the media picker.
- Drag-and-drop or browse to upload images. Up to 3 images are allowed; exceeding this shows "the maximum number of images is (3)".
- Uploaded images appear as thumbnails; use each thumbnail's controls to remove it.
Gotcha — videos: Video upload (
.mp4) is only offered if your account has thecan-upload-videopermission; otherwise only images are accepted.
Section: Custom Fields (the application questions)
This is where you define the questions candidates must answer when they apply. The section header shows the note: "Custom Fields that the candidate can fill for their application."
- Click Add new field (ES: "Añadir nuevo campo").
- For each field, set:

- Use the red trash icon next to a field to remove it.
Section: Candidates (edit mode only)
When editing an existing vacancy, a Candidates list shows everyone who has applied to it (read-only here). If none yet, it shows "Nothing to show."
Save / delete
- Save validates, then shows the "Save changes" confirmation dialog. On success: "{position} created/updated successfully".
- In edit mode, Delete opens a confirmation dialog before removing the vacancy.
Candidates tab (Jobs → Candidates)
Where: Jobs page, Candidates (ES: "Candidatos") tab — https://admin.eatsyorders.com/jobs?tab=candidates.
What it's for: Everyone who applied to your vacancies (or that you added manually), so you can review them and track where they are in your hiring process. Table columns: Name, Position (the vacancy they applied to), Phone, Email, Status.
Review / edit a candidate (quick panel)
- Click a candidate's row, or use the three-dot menu → Edit (ES: "Editar"). Requires
edit-candidate. - A side drawer slides in from the right with the candidate's details (name, vacancy, status, "About yourself", phone, email) — you can update them here without leaving the list.
- Change the Status to move the candidate along (see status values below), then Save and confirm. On success: "{name} was edited successfully".
The candidate detail panel also shows Send email (ES: "Enviar correo electrónico") and Call candidate (ES: "Llamar al candidato") buttons next to their contact info.
Note: The Send email and Call candidate buttons may not open your email app or dialer in every account. Use the phone/email fields to contact the candidate directly if needed.
Add a candidate manually
- Click New candidate (ES: "Nuevo candidato") at top right. (Only with
add-candidate.) - You go to the full candidate form at
https://admin.eatsyorders.com/jobs/candidates/new(see below). - Save and confirm. On success: "{name} created successfully".
The empty state offers a Create new candidate link.
Delete a candidate
- Three-dot menu → Delete (ES: "Eliminar"). Requires
delete-candidate. - Confirm in the "Delete candidate" dialog. Click Delete or Cancel.
Visibility: The three-dot menu only appears if you have
edit-candidateordelete-candidate.
The candidate form (manual add / edit)
Where: https://admin.eatsyorders.com/jobs/candidates/new. (The edit version of this form is also what powers the quick drawer on the Candidates tab.)
Visibility: New requires add-candidate.
Section: candidate details

This section also shows the Send email / Call candidate buttons (see the uncertainty note above).
Section: Custom Fields (application answers)
If the chosen vacancy has custom application questions, they appear here for you to fill in the candidate's answers (each shown according to its type — text, checkbox, number or email). If the vacancy has no custom fields, this section doesn't show.
Save / delete
- Save validates, then shows the "Save changes" confirmation. On success: created/edited message.
- When editing, a Delete action (with confirmation) is available.
